What the Secretary handles in Oriente 33

The membership roll

Each brother's record: membership number, degrees with the dates he was initiated, passed and raised, offices held, family members and standing. Brethren update their own contact details; the Secretary keeps the Masonic record.

Meeting minutes

Attach the minutes to the communication they belong to. Brethren can read them before the next meeting and record their approval — no more printing drafts or reading them from a phone in the anteroom.

Petitions, investigation and ballot

Every petition in one place, with its three investigators and the ballot date. The ballot is secret, so only its result is recorded — elected or rejected, never a count. The petition fee is paid by card through a link.

Attendance

Brethren confirm attendance from their phones and visitors sign in by link or QR code. The Secretary sees who came to each communication and can send visiting brethren a certificate.

Notices and the month's birthdays

Pinned notices on the bulletin board, email notices to the whole roll and the list of the month's birthdays — the Lodge hears from the Secretary without a phone tree.

By-laws, documents and Grand Lodge circulars

By-laws, minutes and official papers in one repository, plus the ritual updates and circulars relayed from the Grand Lodge — with access control by level.

Why Lodges struggle to find a Secretary

The office carries the correspondence, the minutes, the roll, the petitions and the reports to the Grand Lodge — usually on one brother's personal computer. When he steps down, the Lodge's memory steps down with him, and nobody wants to inherit a box of paper and a spreadsheet only one person understands.

Masonic Lodge secretary software changes the job: the records live in the Lodge's own system, routine notices go out without the Secretary chasing anyone, and the office can be handed over in an afternoon instead of a season.

Frequently asked questions

What happens when a new Secretary is installed?
He inherits everything. Records, minutes, petitions and documents belong to the Lodge, not to whoever held the office. The Lodge's administrator gives the incoming brother the Secretary access level and returns the outgoing one to member access.
Is the ballot really secret?
Yes. The system records only the result of the ballot — elected or rejected — and never how anyone voted or how many black cubes were cast.
Does it work for York Rite Lodges?
Yes. The York Rite offices come built in, and the Treasurer has annual dues, dues cards and the Grand Lodge per capita calculation. Lodges of other rites use the same Secretary tools with their own offices.
What does it cost?
Basic is USD 37.90 per month per Lodge, with unlimited users — every brother can have his own login at no extra cost. Pro, at USD 50.00, adds the full financial module. Both start with a 7-day free trial and no contract.
