How to collect Lodge dues online without chasing brethren

Every Treasurer knows the pattern. Dues go out, a third of the Lodge pays in the first week, and the rest takes two months and a series of conversations nobody enjoys — least of all the brother being reminded. The work is not the accounting. The work is the chasing.

Collecting online removes most of it. This guide covers how that works for a Lodge, and the two questions you should ask any provider before the first dollar moves.

Why chasing is the real cost

A Treasurer who spends his month reminding brethren is not doing treasury work — he is doing collections, unpaid, against his own friends. It strains relationships that have nothing to do with money, and it is the single most common reason a brother declines the office.

The goal of collecting online is not convenience for the payer. It is removing the Treasurer from the middle of the transaction.

How it works in practice

1. The Lodge connects its own payment account. Not the software provider's account — the Lodge's. This is the point that decides everything else, and we come back to it below.
2. The Treasurer bills the roll at once. Annual dues, or monthly, with a fixed due date. One-off charges — degree fees, festive board, regalia — can usually be split into installments where that helps a brother stay current.
3. Each brother pays from his own portal. He sees what he owes and settles it by card. No invoice to find, no bank details to retype, no message to the Treasurer.
4. The payment records itself. Standing updates, the entry posts to the books, and the monthly report builds as the year goes.

The two questions to ask before you sign

Where does the money land? There are two models, and they are not equivalent. In the first, payments settle directly into the Lodge's own account and the software never touches the funds. In the second, the provider receives the money and forwards it to you — which means the provider holds Lodge funds, and a dispute, a delay or a failure on their side becomes your problem. Ask the question plainly and expect a plain answer.

What does it cost per transaction? The card processor charges a fee — that is unavoidable. What is avoidable is a second fee on top, taken by the software as a percentage of what your Lodge collects. A subscription price is predictable. A percentage of dues is a tax on your Lodge growing.

Reminders that stay fraternal

Automatic reminders are the other half of the problem. Done well, they are impersonal by design — a notice on the due date, another if a payment slips — and the Treasurer's personal conversation is reserved for the brother who genuinely needs it, usually because something is wrong in his life rather than his intentions.

The brother who will not pay online

Some will not, and that is fine. A Lodge with a mixed roll needs both paths: online for those who want it, and a manual record for cash, check or bank transfer. What matters is that both end in the same place — one set of books, one view of who is current.

A useful detail here: when a brother pays offline, let him attach the receipt to his own charge. The Treasurer then records the payment having actually seen it, rather than on the strength of a message that said "paid it yesterday".

What changes after a year

The visible change is that dues arrive faster. The one that matters more is quieter: the Treasurer stops being the person everyone associates with money, the books close monthly instead of annually, and the officers can see the Lodge's financial health without anybody being embarrassed.
